Office Events During a Time of Social Distancing

The COVID-19 global pandemic has recently seen social distancing measures being instituted. Possibly “the most important of which is the recommendation that non-essential organised gatherings of greater than 100 do not proceed,” according to Australia’s Chief Medical Officer, Professor Brendan Murphy.

For businesses hosting small meetings and events in-house during this time of social distancing, the CIS Event Management  team spoke to our friends at Complete Function Hire. Here’s an event checklist to ensure that your in-house office event is seamless.

Catering

If you have recently cancelled a venue event, it is worth asking your caterer (or venue) if they can provide corporate catering to your office. Melburnians are spoilt for choice when it comes to quality office catering and most caterers can provide a range of diverse menu options to fit within your budget. Many caterers can also provide staff to service your food and beverage.

Kitchen

Depending on your menu choices and guest numbers, you might need to consider hiring warming ovens and some trestle tables for your caterers to be able to create their amazing menu. Take stock of service equipment available at your office, making sure you have enough service equipment such as platters, crockery and cutlery in-house (alternatively, you can hire a huge range of equipment from our friends at Complete Function Hire!)

AV

A good quality PA system and speakers are essential if you are planning on having music at your office event. For any formalities, ensure that you organise equipment, a microphone for speeches, and monitors, screens and projectors for presentations. During a time of social distancing, audio visual equipment requirements may include options to host live streaming for interstate or home confined colleagues.

The Bar

Depending on your office space, you may have a simple bar set up with linen-covered trestles and some refreshments pre-poured. Alternatively, make the bar a focus point that stands out, such as a white pressed-metal or black acrylic bar. Depending on your guest numbers and style of drinks on offer, a mix of champagne flutes, red and white wine glasses and tumblers for beer and soft drinks are good choices.

Furniture

Bar trees and cafe tables give your guests a place to mingle and put their drinks. Some seating is essential and for winter events, a comfy lounge area with sofas and coffee tables is always a great addition.

Décor

Decorative touches such as cushions, lamps and lighting will create ambience for your office event. Floral arrangements become a focal feature when arranged on pedestal boxes or plinths.
